Job Description:
Managing Director
Chief Executive Officer of WCT
 Execute and sign contracts on behalf of the WCT.  Make reports and recommendations to the Board.  Attend all Board meetings as staff.  Guide program planning and development activities.  Must be able to multi-task and to work independently as well as with diverse staff and volunteers.
Publicity and Marketing
Oversee and maintain marketing functions (including public relations, and promotion).  Maintain social media announcements.  Prepare computer graphics as needed to promote WCT activities, including preparation of production Playbills.
Ongoing Business
Oversee purchase of equipment and supplies for Playhouse and productions.  Supervise or execute response to correspondence, phone calls, and receipt and payment of bills (including public relations and promotion).  Specific duties include:

Bulk Mailings – ensure there are adequate supplies for the task (tabs, labels, envelopes, etc.) and arrange for volunteers to stuff envelopes, tab and label the project.  Complete the bulk mailing form for the post office, calculate postage, issue check and ensure that the project is mailed out.

Mail – pick up mail at the post office and sort.

Bookkeeping – enter bills, issue checks, run reports for treasurer and other Board members, make bank deposits, reconcile bank statements.

Office & Facility Supplies – ensure WCT has adequate supplies of copy paper, ink cartridges, etc.  Ensure there are adequate concession supplies such as coffee, cups, paper napkins, etc., and monitor facility supplies such as toilet paper, paper towels, soap, etc.

Front Desk – check emails daily(this may be done remotely) and respond as needed or forward messages to appropriate Board member.  Answer phones, check phone messages and handle accordingly.

Box Office – print tickets for special events and deliver to box office.  Reconcile cash in cash boxes at the end of each performance.

Filing – maintain office files.  Make use of production files to track attendance and revenue for each show, and apprise treasurer.

First Thursday –   Secure sponsors for these special community outreach performances and arrange for food and beverages.

Galas and Special Events – send out invitations, arrange seating for special guests, order awards.

Volunteers – arrange for house managers and concessionaires for each performance.

Database – keep mailing list up-to-date, including entry of names generated by Brown Paper Tickets sales and other sources.

Financial Duties
Work with Financial Development and Fund-Raising Committee and fund-raiser to develop long-term plans and strategies.  Work with Treasurer and Production Manager to create general operating budget.  Monitor budget compliance. Prepare monthly reports for Board meetings and annual reports as described in by-laws.  Prepare and distribute financial reports for each production.  Monitor compliance with government/grant contracts.
Personnel
Assist Personnel Committee in recruiting and hiring permanent theatre staff (responsibilities may be delegated).  Monitor work in progress.  Administer personnel policies.  Develop, with staff, procedures to implement policies established by Board..  Chair staff meetings.
Record Keeping
Maintain all documents and records (articles of incorporation, contracts, by-laws, titles, tax documents, insurance policies, production records, etc) pertaining to the theatre.
Staff/Board Liaison
Board/Staff communication is maintained through the Managing Director.
Community Relations
Represent WCT in the community.  Able to present a good “front desk” appearance, handle difficult/temperamental artists smoothly, and have a good telephone demeanor.  He/she will also be expected to assist with special events such as the donor gala.
